Question 13
The organization you work for as the Assistant Office Manager has had several accidents which have led to serious injuries among the employees. The management has asked you to investigate the matter. Assuming that you have completed the investigations, write a report giving recommendations.
(18 marks)
Answer
REPORT ON WORKPLACE ACCIDENTS AND RECOMMENDED PREVENTIVE MEASURES
| Report detail | Information |
|---|---|
| To | The Management |
| From | Assistant Office Manager |
| Date | 15 April 2024 |
| Subject | Investigation of accidents resulting in employee injuries |
1. Terms of reference
Following the management’s instructions of 25 March 2024, I investigated the causes of recent workplace accidents, assessed existing precautions and identified measures to prevent recurrence. The investigation covered the offices, stores and access routes and was completed on 12 April 2024.
2. Procedure
I inspected the affected work areas, reviewed accident reports and maintenance records, and interviewed injured employees, witnesses, supervisors and the first-aid team. I also examined the arrangements for staff induction, emergency response and reporting hazards.
3. Findings
- Walkways contained loose cables and stored materials. Wet floors were not consistently marked, creating tripping and slipping hazards.
- Some equipment had defective electrical connections and overdue servicing. Faults previously reported had not always been corrected promptly.
- Several employees had not received practical safety training for their assigned duties. New workers relied on informal instructions.
- Protective equipment appropriate to handling and maintenance tasks was not always available or used.
- Supervision and hazard reporting were inconsistent. Minor incidents were sometimes ignored until a serious accident occurred.
- First-aid supplies and emergency directions were inadequate in some areas, delaying assistance after injuries.
4. Conclusion
The accidents resulted from a combination of unsafe conditions, inadequate training and weak follow-up of reported hazards. They are likely to recur unless the organization improves prevention, supervision and emergency preparedness.
5. Recommendations
- Clear and mark access routes immediately, secure loose cables and introduce routine housekeeping inspections. Display warning signs while floors are being cleaned.
- Withdraw defective equipment from use, engage competent personnel to repair it and maintain a documented preventive maintenance schedule.
- Provide induction and refresher safety training, including safe equipment use, manual handling and reporting hazards. Verify that staff understand the procedures.
- Supply suitable protective equipment for relevant tasks and require supervisors to check its correct use and condition.
- Establish a simple hazard and near-miss reporting system. Assign each corrective action to a named officer with a deadline and review completion monthly.
- Replenish first-aid kits, train designated first-aiders, display emergency contacts and conduct evacuation drills. Management should approve resources and receive regular progress reports.

Question 14: Read the passage below and then answer the questions that follow.
In recent years, the farmers who practice ranch farming in Kenya have embraced technology. The main objectives of this development were to bring about efficiency in managing the farms, to increase production and, eventually, to get higher returns.
The ranch owners are now reaping the benefits of embracing technology on their ranches. To start with, there has been better analysis of data for decision-making. Advanced data analytics tools have empowered ranch owners to analyse vast amounts of information such as weather patterns and soil quality. This data-driven approach has led to better and improved feed preparations, early prediction of disease outbreaks, and planning for seasonal changes. Secondly, there has been improved management of water especially in semi-arid regions. Technology has played a crucial role in improving water management on ranches through automated irrigation systems, soil moisture sensors, and weather forecasting tools. This has helped ranchers to optimize water usage and ensure that pastures receive the right amount of water at the right time. This conserves water and also promotes sustainable land management.
In addition, the ranchers have adopted mobile technology for communication. The widespread use of mobile phones in Kenya has transformed communication for these farmers. The various mobile applications and text messaging services provide instant communication on market prices, weather updates, and veterinary information. This real-time information allows ranchers to respond promptly to changing conditions in the ranch. Another benefit is that technology has improved disease monitoring and prevention on these ranches. The use of remote sensing devices and health trackers for livestock helps to identify, in good time, signs of illness among the animals. This early detection allows ranchers to isolate and treat the affected animals quickly and prevent the spread of diseases thus minimizing economic losses.
Through technology, ranchers can easily access markets through the many digital platforms available. E-commerce has also opened new avenues for ranchers to access markets globally. Similarly, the online platforms connect the ranchers directly with consumers and other businesses. This eliminates the brokers who at times do not add any value to the ranchers. The technology ensures that the profit margins for ranchers are increased and that the consumers are provided with access to a wider range of high-quality products.
Although a lot has been accomplished by the ranchers as a result of embracing technological innovations in agriculture, they have faced challenges in the adoption of the technology. First, there is high initial investment cost of the technology. For ranchers to acquire and implement good agricultural technologies, they require a huge amount of resources. Some ranch owners may face financial constraints when trying to purchase advanced machinery, sensors, and other technologies that are crucial for farming.
Another challenge is lack of technical expertise. The successful implementation of technology in agriculture requires a certain level of technical expertise. At times, ranchers may face challenges in finding and retaining skilled workers who can effectively operate and maintain the advanced equipment and systems on their ranches.
Furthermore, there is limited technological infrastructure in some parts of the country. Lack of necessary infrastructure such as reliable internet connectivity and power supply may limit the rancher from acquiring the technology needed. This limitation can hinder the much-needed harmonization and functional approach to tech-driven solutions. Data security and privacy is also a challenge to farmers as well as the internet providers. The collection and storage of large amounts of data, including sensitive information about livestock and ranch operations, raise concerns about data security and privacy. Therefore, protecting this data from cyber threats becomes a critical challenge for ranchers.
Another threat is lack of adequate training and education on the use of the new technologies. Successful implementation of programs on a ranch is dependent on continuous training of its workforce. If this is not done, there is likely to be under-utilization of the technologies.
The positive impact of technology on Kenyan ranches is evident in their increased efficiency and overall resilience of operations. There is great potential for further improvement so that the ranchers can meet the challenges of a changing agricultural setting and contribute to the country’s economic growth.

| evident | Clearly seen or apparent. |
Question 14(b)
In about 130 words and according to the passage, write a summary on the challenges ranchers are facing as they adopt technology.
(9 marks)
Answer
Ranchers face several challenges when adopting technology. Advanced machinery, sensors and related systems require substantial initial investment, which some farmers cannot afford. They also lack sufficient technical expertise and may struggle to recruit and retain workers who can operate and maintain sophisticated equipment. In some areas, unreliable internet connections and inadequate electricity supply limit access to technology and prevent systems from working together effectively. Collecting and storing detailed information about livestock and ranch activities creates security and privacy concerns, making protection against cyber threats necessary. In addition, workers require continuous education and practical training to use new systems successfully. Where this training is inadequate, the technology may remain underused. These financial, staffing, infrastructure and information-management difficulties restrict the effective use of innovations on ranches.
